This policy explains how LMS Events & Entertainments (“LMS”, “we”, “us”) collects and uses personal data when you contact us or use this website. We are the data controller for that information. Our address is Squirrell Chase, Seamer Road, Tame Bridge, Stokesley, North Yorkshire, TS9 5LG.

What we collect

When you send an enquiry through this website, we collect:

• your name;
• your email address;
• your telephone number, if you provide one;
• your company name, if you provide one;
• details of your event: event type, date, guest numbers and activities of interest;
• anything else you choose to write in the message field.

We do not ask for special category data, and you should not send us health, financial or similarly sensitive information through the enquiry form.

Why we use it and our lawful basis

• To respond to your enquiry and provide a quotation. Lawful basis: legitimate interests, and where relevant steps taken at your request prior to entering a contract.
• To plan, deliver and staff a booked event. Lawful basis: performance of a contract.
• To keep records of quotes and bookings. Lawful basis: legitimate interests and compliance with our legal obligations.

We do not use your enquiry details to send marketing unless you have separately asked us to, and we never sell your data.

Who we share it with

We share personal data only where necessary: with the service providers that host this website, store our enquiry records and deliver our email, and with professional advisers or authorities where the law requires it. Our providers act on our instructions under written terms. Where data is processed outside the UK, appropriate safeguards such as the UK International Data Transfer Addendum are in place.

How long we keep it

Enquiries that do not lead to a booking are kept for up to 24 months, so that we can pick up the conversation if you come back to us. Records relating to a booking are kept for 7 years for accounting and insurance purposes [TO CONFIRM]. After those periods, records are deleted or anonymised.

Security

Enquiries are transmitted over an encrypted connection and stored in access-controlled systems. Only the members of our team who need the information in order to respond to you or run your event can see it.

Photography at events

We sometimes take photographs or video at events for our portfolio and social media. If you would prefer not to appear, tell our on-site team or email us and we will not use images of you. Where the client organising the event has its own photography arrangements, those are the client’s responsibility, not ours.

Your rights

Under UK GDPR you have the right to:

• be informed about how we use your data;
• request a copy of the data we hold about you;
• have inaccurate data corrected;
• ask us to erase data where there is no continuing reason to keep it;
• restrict or object to our processing;
• request portability of data you provided to us;
• withdraw consent where we relied on consent.
